Casual Clarity Privacy Policy

Our policy around data privacy and usage for the Casual Clarity tool.

1. What we collect

When you use the tool, we collect: uploaded content (the client brief and any supporting materials you provide — documents, PDFs, etc.); generated reports (the AI-generated analysis based on your input); and basic metadata (timestamps, filenames, and — if applicable — user-identifying information such as email or account ID).

2. How we use your data

Your data is used exclusively to analyse and assess the quality of the uploaded brief using OpenAI’s API, to generate an automated report that helps you improve your briefing process, and to retain a reference copy of your submission and its analysis for your future review. We do not use your data for training, advertising, profiling or unrelated analytics.

3. Third-party processing and hosting

OpenAI (processor): we use OpenAI’s API to analyse your content; per OpenAI’s API data-usage policy, data sent via their API is not used to train OpenAI models and is not stored long-term. Replit (hosting): the tool is hosted on Replit infrastructure, where uploaded content and reports are stored securely. Slack (internal archive): a copy of your submission and report may be archived in a private Slack channel accessible only to our internal team. We do not share your data with any other third parties.

4. Data storage and retention

We retain your uploaded document and the corresponding report on Replit servers and private Slack archives, indefinitely or until you request deletion, so you and we can refer back to previous submissions.

5. Human access and review

All analysis is conducted automatically by the AI model. Your content is not reviewed by humans unless you explicitly request a manual review, or we need to investigate an error or issue you’ve reported. No content is reviewed or repurposed internally for training, sales or other non-support purposes.

6. Security measures

We take reasonable measures to protect your data, including encrypted data transmission (HTTPS), access controls within Replit and Slack, internal data hygiene and periodic audits, and no unnecessary data collection.

7. Your rights and choices

You have the right to request a copy of your data, ask us to delete your uploaded brief or report at any time, and withdraw your consent and stop using the tool. To exercise these rights, contact us at adam@casualfilms.com.

8. International users

If you are located in the UK, EU or another jurisdiction with data-protection laws (e.g. GDPR), we process your data on the legal basis of contractual necessity and legitimate interest. We do not transfer your data outside the platforms used (OpenAI, Replit, Slack), which operate with global infrastructure and data-residency safeguards.

9. Policy updates

We may update this policy occasionally. Material changes will be communicated via email or in-app notification, and continued use after updates constitutes acceptance of the revised policy.

Please note: while we take strong measures to secure your data, we recommend you do not submit truly sensitive information (e.g. personal health data, confidential legal documents or proprietary trade secrets) via the upload form. If your brief contains highly sensitive content, please contact us first to arrange a secure review process.
